ILResponsibilities:
- Assists with attaining appropriate quotes, pulling required company documents together, and preparing final project package in an accurate and timely way.
- Assists Project Manager at Project on-set, ensuring all necessary documents, project schedule(s), and other required items are available and ready for the project prior to start date.
- Handles Request for Information (RFI’s), change orders, and overall contract document management and submittals, ensuring all required project documents are received, in order, and provided to the correct sub-contractor(s), vendor(s), and project owners in an effective way.
- Assembles subcontracting agreements based on the Project Scope of Service provided by Project Manager.
- Tracks and collects required project insurance documents and ensures proper tracking with insurance vendors.
- Acts as a Liaison between vendors, Project Managers, and Superintendents to follow up on documents and project open items to ensure project is meeting specifications and schedule.
- Creates change orders in the system and sends to sub-contractors for approval based on requests received from the Project Manager and/or Superintendent.
- Creates an Operations and Maintenance Manual (O&M) for new construction sites, ensuring all major mechanical user manuals and warranties are in place.
Qualifications:
- Minimum of five years of administrative experience, preferably in construction-related roles.
- Strong organizational, time management, and multitasking skills in a small corporate environment.
- Exceptional oral and written communication skills, with proficiency in Microsoft Office Suite (Outlook, Word, Excel).
- Ability to present information effectively in one-on-one and small group settings.
- Demonstrated sound judgment and high ethical standards.
